Prepare approved knowledge

Identify the pages and documents the chatbot can use. Assign an owner to update them when services, policies or availability change. Private customer records are not a public knowledge base.

Separate answers from actions

Answering a question is different from changing an order or creating a booking. Agree authentication, permissions and approval rules for each action before connecting live systems.

Test uncertainty and handover

Check ambiguous questions, unsupported requests and attempts to bypass instructions. Define the fallback message and how a person receives the conversation. These checks reduce risk; they do not make AI infallible.

Before you build

If a short FAQ or a better enquiry form solves the problem, start there. A chatbot is most useful when visitors need a conversation to find information or explain a request, and someone can maintain its knowledge.
